Privacy Policy

Brentwood Inspect (“we,” “us”) is a home inspection company based in New Kent County, Virginia, and part of Brentwood Solutions Group. This policy explains what information we collect through brentwoodinspect.com and when you book or work with us, how we use it, and the choices you have.
Information we collect
- Contact and property details you give us: your name, email, phone number, the property address, details about the home, your role (for example buyer, seller, or agent), and anything you send us by email, phone, text, or through our booking, scheduling and quote forms.
- Files you attach: photos, earlier reports, or other documents you upload with your booking. They’re kept in a private folder on our website, not on a public page.
- Feedback: ratings and comments you send us after your inspection.
- Inspection records: photos, measurements, moisture readings, notes, and the report we prepare about the property.
- Agreement and payment records: when you sign your agreement online, we keep the signed text with your typed name, the date and time, your IP address, and your browser type. Online payments (card, bank account, or Klarna, Zip or Afterpay if you choose them) are handled by Stripe and, for pay-later options, the provider you choose (or, for bookings made through Hive Inspect, by Hive’s payment provider). Payment details are never stored on our website. If you pay by cash or check, we record the amount and any check number.
- Website usage: we use Google Analytics to understand how visitors use the site, such as pages viewed, approximate location, device and browser type, and how you found us. See “Cookies and Google Analytics” below.
How we use it
- To schedule and perform your inspection, prepare and deliver your report, and send your agreement, confirmation, and invoice. This includes automatic emails about your booking: a reminder the day before, a reminder to sign your agreement if it isn’t signed yet, and, after your report is delivered, one email asking how we did.
- To let you reschedule, cancel, or download your report through private links in our emails.
- To calculate your price, which depends on the home’s details and driving distance, and to plan our driving schedule and keep mileage records.
- To answer questions and keep in touch about your inspection.
- If you choose the Engineering Add-On or a HUD foundation certification, to share the relevant inspection records with Brentwood Solutions Group’s engineers so they can review them.
- To meet legal, licensing, insurance, and recordkeeping obligations.
- To improve our website and services.
We do not sell your personal information, and we do not share it for other companies’ advertising.
Who we share it with
We share information only as needed to do the work you asked for and run our business:
- Hive Inspect, the software we use to write inspection reports, and for any booking made through a Hive scheduling or quote form. Information you enter in a Hive form goes directly to Hive, and Hive’s own privacy policy also applies to it.
- Brentwood Solutions Group, our parent engineering firm, for engineering review when you ask for it.
- People you ask us to include, such as your real estate agent or lender. If an agent books for you, they receive a copy of the booking confirmation. If you name someone to receive a copy of your report, we email it to them when it’s delivered. Otherwise we share your report only with people you authorize.
- Service providers that help us operate: Stripe (payments), Klarna, Zip and Afterpay (only if you choose to pay with them), Google (website analytics, address lookup and driving distance, calendar, and email), RentCast (public property records used to pre-fill details such as square footage and year built), and Hostinger (website hosting). They may use the information only to provide their services to us.
- Authorities or others when required by law or legal process, or to protect our rights, our clients, or the public.
Cookies and Google Analytics
Our website uses cookies, small files stored by your browser. Google Analytics uses cookies to collect the usage information described above, which Google processes on our behalf. To learn more, see How Google uses information from sites or apps that use our services. You can opt out with the Google Analytics opt-out browser add-on or by blocking cookies in your browser settings. The site still works without them.
If you use our online booking form, the address you type is sent to Google to suggest matching addresses and calculate driving distance, and to RentCast to look up public property records. If you use a Hive Inspect scheduling or quote form, Hive may set its own cookies to make it work.
Our website does not currently respond to browser “Do Not Track” signals.
How long we keep it
Inspection agreements, reports, and related records are kept for as long as professional licensing, insurance, and legal requirements call for, which is often several years. Other information is kept only as long as it’s needed for the purposes above.
Your choices
You can ask to see, correct, or delete the personal information we hold about you by emailing Harrison@brentwood-solutions.com. We’ll respond within a reasonable time. Some records, such as signed agreements and inspection reports, may need to be kept for legal or licensing reasons.
Security
We use reasonable safeguards to protect your information, and payment card details are handled only by our payment providers. Reports and files you upload are stored in a private folder on our website, and reports are downloaded only through private links sent to you and the people you authorize. No website or email system is completely secure, so please avoid sending sensitive information like Social Security or bank account numbers by email.
Children
Our website is not directed to children under 13, and we do not knowingly collect personal information from them.
Other websites
Our site links to other websites, including Hive Inspect, Brentwood Solutions Group, Facebook, and Instagram. Their own privacy policies apply when you visit them.
Changes to this policy
If we update this policy, we’ll post the new version here and change the effective date above.
